Initial Date of Approval: 4/22/09Revision Date(s): 12/17/24
Administrative Responsibility: Vice President of Student Services
PURPOSE
To inform students how to enroll in classes and ensure that only officially enrolled students are provided with instruction.
POLICY
Only officially enrolled students who appear on the class roster may attend a Skagit Valley College class after the fifth day of regular-session instruction. Students on the waitlist for a class may attend that class through the fifth day of instruction. If a seat does not become available in that class, waitlist students must stop attending after the fifth day of instruction.
PROCEDURES
The following procedures provide information on how and when to enroll.
Enrollment
- Enrollment dates are set by the registrar in coordination with Academic Affairs and Student Services. They are published on the Important Dates and Deadlines page.
- Admitted students may enroll in one or more classes by using the ctcLink Student Self-service Center, completing a paper registration form at the Enrollment Services counter, or emailing enrollment@skagit.edu.
- If a student has any issues enrolling, they should contact enrollment@skagit.edu as soon as possible to request assistance.
- Once enrolled, students must either pay tuition and fees in full; set up a payment plan and make their first payment; or arrange funding by the date indicated on the Important Dates and Deadlines page.
- Enrollment for dynamic-dated classes adheres to different deadlines based on the actual dates the class is offered.
- Students may enroll in open-enrollment classes at any time during the quarter so long as the class still has capacity.
Enrollment Appointments and Open Enrollment
- Enrollment appointments are assigned by the registrar based on a student’s total number
of earned credits at Skagit Valley College. The dates of days one through three of
the enrollment period can be found on the Important Dates and Deadlines page.
- First appointment day (day one of enrollment): Students with 60 or more credits and Basic Education for Adults students.
- Second appointment day (day two of enrollment): Students with 30-59 credits.
- Third appointment day (day three of enrollment): Students with 1-29 credits
- Open enrollment generally begins one week after day one of enrollment.
- Students may register for Summer and Fall quarters at the same time.
- If a student believes they have been assigned an incorrect enrollment appointment, they may contact enrollment@skagit.edu to request a review.
Waitlist
- Once a class reaches capacity, it will close to further enrollment, and students may then join the class waitlist through the third day of instruction.
- The automatic waitlist process in ctcLink will add students to classes as seats become available through the third day of instruction. If there is an enrollment error due to unmet prerequisites, schedule conflicts, or credit load, the waitlist process will move to the next student on the list.
- Students on the waitlist may attend class through the fifth day of instruction. If no seats become available after the fifth day of instruction, they must stop attending.
- Instructors may, but are not obligated to, authorize enrollment above the class capacity limits. They are required to follow the waitlist order through the third day of instruction. After the third day of instruction, instructors are no longer required to follow the waitlist order.
- To authorize enrollment above the class capacity limits, instructors should issue a permission code to the student(s) on the waitlist and then notify their unit assistant of the cap raise.
Enrollment Limitations
- Running Start students may not enroll until they have submitted a complete Running Start Enrollment Verification form.
- To enroll after the third day of instruction through the tenth day of instruction, students must request a permission code from the instructor. Instructors are not obligated to grant this request.
- To enroll after the tenth day of instruction, students must request permission from the instructor and then from the appropriate instructional dean. Once approved, the enrollment will be processed by Enrollment Services.
- To enroll in a class without meeting the class prerequisite requirements, students must request a permission code from the instructor. Instructors are not obligated to grant this request.
- To enroll in a class requiring instructor or department permission, students must request a department code from the instructor or program administrator.
- To enroll in more than 21 credits for the quarter, a student must request permission from an advisor and then the dean of Enrollment Services. Once approved, the additional enrollment will be processed by Enrollment Services.
- Students who wish to enroll in a course that they have already attempted to complete three times must submit a Fourth Attempt Petition to the dean of Enrollment Services. If approved, the enrollment will be processed by Enrollment Services.
Auditing a Class
- Students may request to audit a class with the Audit Choice Card. If approved by the instructor and the dean of Enrollment Services, the audit enrollment will be processed by Enrollment Services.
- Students must pay full tuition and fees for the audited class by the date indicated on the Important Dates and Deadlines page.
- Students auditing a class are required to attend classes, but they are not required to complete exams or submit work.
- Upon completion of the audited class, the student will receive an N grade on their transcript. An N grade does not constitute college credit.
Space-Available Waivers
- Students may not enroll in a class until the first day of instruction if they plan to use a space-available waiver such as the State Employee Tuition Waiver or the Senior Waiver.
- If a student requests to use a space-available waiver and is found to have enrolled before the first day of instruction, they will not be permitted to use the waiver. They will either need to pay for the class in full or withdraw.
Skagit Valley College Employee Waiver
- Eligible SVC employees may enroll in courses using the Employee Tuition Account to waive tuition and fees.
- After enrollment, SVC employees must submit a completed Tuition Account Form to Human Resources. The form is available in the HR section of the staff portal in the Tuition Waiver folder.
