5315 Official Withdrawal from Courses

PURPOSE

To explain how to officially withdraw from courses at Skagit Valley College, including deadlines, refund periods, and exceptions.

POLICY

A student may officially withdraw from one or more courses if the withdrawal is initiated within the deadlines listed on the Important Dates and Deadlines page. In accordance with state law, the college may grant an exception to withdrawal and refund deadlines to a student who experiences an unexpected medical circumstance or must fulfill a state or federal military service obligation that exceeds thirty (30) days. Other accommodations are allowed for a service member fulfilling a military obligation of 30 days or fewer.

PROCEDURES

Student Initiated Official Withdrawal

The following procedures apply to any student withdrawing from courses that follow the regular quarter schedule. Dynamic-dated courses that start and/or end at a different time than the regular quarter schedule will have different withdrawal deadlines based on the actual dates of the course.

  • Financial aid students, international students, veterans, and other students participating in special aid or support programs should check with their funding source before withdrawing from courses to see if their withdrawal will result in loss of eligibility or repayment of funds. Some students may be required to check with their funding source before they can withdraw from classes.
  • Students may officially withdraw from one or more classes by using ctcLink student self-service, completing a paper registration form at the enrollment services counter, or emailing enrollment@skagit.edu.
  • Students may officially withdraw from a course through the tenth instructional day of fall, winter, and spring quarters without the course being noted on their transcript.
  • Students may officially withdraw from a course through the eighth instructional day of summer quarter without the course being noted on their transcript.
  • Students may officially withdraw from a course through the last instructional day of fall, winter, and spring quarters with a grade of W noted on their transcript.
  • Students may officially withdraw from a course through the last day of summer quarter with a grade of W noted on their transcript.  
  • Students who miss the deadline to withdraw from a class and are not covered by the medical or military exceptions may be approved for withdrawal if the student demonstrates an extenuating circumstance that prevented withdrawal by the deadline. There will be no refund if the withdrawal request is beyond the refund periods as defined by law. Students who wish to request a withdrawal after the deadline must submit a Withdrawal Exception Form by the last day of the quarter that follows the quarter for which a withdrawal is being requested.

Medical Withdrawal

  • To request a withdrawal due to unexpected medical circumstances, students must submit a Withdrawal Exception Form by the last day of the quarter that follows the quarter for which a withdrawal is being requested.
  • A 100 percent reversal of tuition and fees is provided for approved medical withdrawals when the student paid out of pocket or still owes a payment. Students who used financial aid to pay for their classes are unlikely to receive a refund as part of their withdrawal request.
  • Unexpected medical circumstances may relate to the student and the student’s immediate family, including parents, siblings, children, spouse, or domestic partner.
  • Medical withdrawals are not approved for chronic or otherwise known conditions that pre-existed the beginning of the quarter. Exceptions may be made on a case-by-case basis, and students who wish to request an exception should explain why on the Withdrawal Exception Form.
  • A complete withdrawal from all classes is required. Exceptions may be made on a case-by-case basis, and students who wish to request an exception should explain why on the Withdrawal Exception Form.
  • In most cases, a W will appear on a student’s transcript after a medical withdrawal. Exceptions may be made on a case-by-case basis, and students who wish to request an exception should explain why on the Withdrawal Exception Form.

Military Service Withdrawal

  • To request a withdrawal due to a military service obligation that exceeds thirty (30) days, service members or an appropriate officer from the military organization must submit a Withdrawal Exception Form before the end of the following quarter.
  • Service members may request to drop one or more classes.
  • A 100 percent reversal of tuition and fees is provided for approved military service withdrawals.
  • The withdrawn courses will not be noted on the service member’s transcript.
